Preparing fixed asset PBC lists that auditors actually use

What belongs in the prepared-by-client pack for fixed assets, and what merely clutters the folder.

Organised documents and notes for an audit preparation pack

External auditors request the same core items every year: roll-forward, additions listing with invoices, disposals with proceeds, and a reconciliation to the general ledger.

Add a map of locations and a contact list for plant escorts. Fieldwork delays often come from access, not from missing Excel columns.

Label files with the period and entity code in the filename. ‘Final_v7’ helps no one when three subsidiaries share a folder.

Include the capitalisation policy and any life-change memos in the same pack. Auditors should not hunt through email for the basis of judgement.

If you engaged Data NexGen for year-end asset support, we file workpapers in the same structure your auditor’s PBC list uses, so handover is a copy—not a rewrite.

Resist dumping the entire AP archive. Curate invoices for additions above materiality and keep a separate appendix for lower-value samples the auditor may request later.
